Privacy Policy (DRAFT)

HeadRep by [Company Legal Name] · Effective [date] · Draft for counsel review, not legal advice.

The short version (for athletes)

1. Who we are

[Company Legal Name] ("we") makes HeadRep, a mental-performance training app for young athletes. Contact: privacy@headrep.com, [phone], [mailing address].

2. Who can use the app

HeadRep is for athletes 10 and older, and for the coaches and parents who support them. Children 10 to 12 can use it only after a parent or legal guardian has given verified consent (section 3). HeadRep is not for children under 10; if we learn a child under 10 has used it, we delete their data. We ask every new user's age with a neutral question and use app-store age signals where the law requires them. If we learn that a child 10 to 12 is using an account without a parent's verified consent, we delete that account and its data. Parents or guardians can contact us anytime at privacy@headrep.com.

3. Children 10 to 12 (our COPPA notice)

This section is for parents and guardians. It explains what we collect from children 10 to 12, how we use and share it, and how you control it, under the US Children's Online Privacy Protection Act (COPPA), which covers children under 13, and the FTC's COPPA Rule.

Operator. [Company Legal Name], [mailing address], [phone], privacy@headrep.com. We are the only operator collecting personal information from children through HeadRep.

When a child says they're 10 to 12, HeadRep asks them to hand the phone to a parent. Until a parent's consent is verified, the app creates no account and sends us nothing; any training, goals or journal entries stay on the child's phone.

To ask for your consent, we collect only your name and email and your child's first name. We use them only to give you this notice and get your consent. If we don't receive your signed consent form within 14 days, we delete them automatically.

You read our notice on your child's phone, make your choices (section 3.4), and enter your name and email. You then sign a one-page consent form with a code on it and send us a photo or scan (privacy@headrep.com) or give it to your child's coach to pass to us. We check the signed form against your request before we turn on your child's account. [Counsel: confirm the signed-form method and whether to add a vendor method (e.g., PRIVO, k-ID) for families who can't print.]

3.3 What we collect from your child, and why

Only after your consent, and only what the app needs:

WhatWhy
A random account IDTo run the account and keep it secure. It doesn't identify your child to anyone else.
First name, age range ("10 to 12"), sport, level, focus areas, cue wordTo build their training plan and personalize the guided sessions
Which exercises they finish and when, how long, and a 0–100% effort scoreTo run points, streaks and progress, and to make points fair
The days they checked in (not their answers)To award check-in points
Goals they write, and the days they check them offTo show their goals on any phone they sign in on
Weekly points, and whether they choose to appear on the team boardFor the team board, if you allow team sharing
Their team, if they join one with a team codeTo link them to their team's license
Your consent choices and the date and version of the notice you agreed toTo honor your choices and show we did
IP address and basic device information in our hosting provider's logsOnly for security and to keep the service working (support for internal operations), never for ads or profiling

We do not collect from your child: journal entries, debriefs, check-in answers (mood, energy, confidence), voice recordings of their declarations, Apple Health data (sleep, Mindful Minutes), their team calendar, their pre-game playlist link, or their trusted adult's name and number. These stay on the phone and we can't see them. We don't collect your child's email address, phone number, photo, location, contacts or birth date.

We don't ask a child for more information than an activity needs, and no part of HeadRep depends on a child giving more.

3.4 Who sees it, and your separate choices

3.5 Your rights as a parent

At any time, you can:

We answer email requests within [10 business days]. Withdrawing consent stops all collection right away.

3.6 How long we keep it

DataKept forThen
Consent request (your name, email, child's first name) without a signed form14 daysDeleted automatically
Your child's account dataWhile the account is openDeleted when you withdraw consent or the account is deleted; removed from backups within [30] days
Accounts no one uses[12] months of inactivityDeleted after we notify you
Your signed consent form[Period counsel sets]Stored outside the app's database, then destroyed

We keep children's data only as long as reasonably necessary for the purposes above, never indefinitely. Our full Data Retention Policy explains why we keep each kind of data and when we delete it.

3.7 How we protect it

Encryption in transit and at rest; database rules that block anyone but the account from its data, and that refuse to store a 10 to 12 profile without verified parental consent; least-privilege staff access with logs; and a written Information Security Program with a named coordinator, an annual risk assessment and an incident plan.

3.8 Changes to this section

If we want to collect, use or share children's information in a materially different way, we'll ask for your consent again first.
